We are seeking a Practice Manager I who will provide ongoing leadership for the development and implementation of management and patient care systems to assure cost-effective and quality operations within Providence Medical Institute (PMI). Specific responsibilities include managing day-to-day operations, with an emphasis on patient care delivery, high quality customer service, patient satisfaction, staffing, budgeting and efficient allocation and use of available capital and human resources. May oversee multiple clinics or departments to include specialty clinics or patient care programs within the Providence Medical Institute. The Practice Manager I works with PMI clinic leadership to carry out organizational goals and strategic integration of care and clinical practices to provide an optimal patient experience. Develops successful interactions with clinic physician leadership and staff physicians to carry out clinic and organizational mission, goals and objectives. Leads staff to ensure that patient care services are provided in a timely manner which are sensitive to the patient's physical, psychological, and spiritual needs. Ensures compliance with established clinical policies and procedures. Participates in PMI-wide special projects, committees or task forces as requested. Possesses fundamental clinic practice management and leadership knowledge and skills, particularly mentoring, coaching, and conflict management and resolution, with effective facilitation of difficult conversations.
In this position you will have the following responsibilities:
Oversee the daily operations of the support staff in a clinic, including access, scheduling, patient flow, telephones, information systems, medical records, patient care, etc
Overall responsibility for recruitment, orientation, retention, training, compensation, employee relations, disciplinary processes, terminations and performance management of all clinic support staff
Analyze monthly statistical reports on clinic production and revenues
Recommend and implement process improvement plans to address areas of deficiency
Develop and monitor clinic operating budgets
Assure clinic operates within budget
Oversee accounts payable, purchasing, payroll, billing and collection functions for the clinic
Assist with recruitment of providers
Oversee clinic participation and compliance in all PMI and PH&S programs
Overall responsibility for quality and medical management programs for the clinic
Assure compliance with programs
Develop and maintain effective and professional relationships with all patients, staff, and providers
Overall responsibility for identifying and addressing patient concerns and complaints in an appropriate, timely manner and in accordance with PMI guidelines
Review and respond to patient satisfaction data. Recommends and implements process improvement to address areas of deficiency
Coordinate marketing materials and programs with PMI Marketing Department
Oversee the maintenance of the clinic building, offices and equipment
Overall responsibility to assure appropriate inventory and ordering of office and medical supplies
Oversee communication between patients and the Physician Billing Office, including financial arrangements and charity care requests as needed
Is an active member of the Management Team and contributes to its success by participating and collaborating with all Management Team members
Participate in committees and meetings as deemed necessary
Required qualifications for this position includes:
Experience developing key relationships within an integrated delivery system such as hospital, health plan and support departments.
Two (2) years of Supervisory and/or management experience within a healthcare environment, medical group office, or outpatient facility
Know and apply fundamental concepts, practices and procedures of practice management
Carry out and may contribute to the strategic plans of the organization in accordance with the directives of executive management
Possibly contribute to creation and revision of policies and procedures for PMI as a whole
Under closer supervision with less latitude for unreviewed action or decision making than Practice Manager II and Practice Manager III
Able to resolve routine questions and problems and consults on more complex issues with Director/higher levels
Able to appropriately assess and take action when Director and/or other parties need to be informed and/or consulted on matters
Develop operational improvements for clinic or department
Knowledge and application of health care environment, medical office policies and procedures, general accounting procedures and human resource management practices
Excellent effective written communication, verbal communication, and interpersonal skills
Able to identify and solve problems, make decisions, and implement changes
Able to prioritize, organize and coordinate work activities
Develop successful interactions with clinic physician leadership and staff physicians to carry out clinic and organizational mission, goals and objectives

Knowledge of Practice Management Systems and Electronic Medical Records

Able to travel between facilities in an efficient and effective manner
Preferred qualifications for this position include:
Bachelor's Degree in Business Administration, Healthcare Administration, Nursing or related field
California State RN license
