Providence is calling an Office Program Assistant/Receptionist ( East Hospital Admin G And A , Day Shift, 1.0 FTE) to Providence Infusion & Pharmacy Services in Spokane, Washington. In this position you will:
Functions as the receptionist. Responsibilities include answering the phone, and greeting visitors and patients, including signing visitors/patients in.
Provides administrative support as assigned. This may include typing, creation of spreadsheets/documents and database management.
Assigns temporary building key cards to appropriate staff as needed and maintains current and accurate log book of all temporary key cards.
Updates Weekly Pharmacy Notes and distributes via email to all staff.
Assists Health Data Services Program Assistants with team responsibilities such as patient packets, sorting and batching patient information and tracking of patient delegations.
Contributes to overall Front Desk team functioning through effective time management and utilization of problem-solving skills to address team issues:
Appropriately utilizes supervisor for guidance/problem solving, including complaint issues and concerns.
Maintains professional appearance.
Attends annual mandatory in-services as well as additional relevant training.
Voicemail and email: Responsible to check, respond and follow-up with voicemail messages at least every two hours during the business day, and for email at least twice daily.
Take initiative during down periods to offer additional support and initiate projects.
Communicates clearly, sensitively, and in a supportive professional manner with patient/family/caregivers, co-workers and public:
Expresses self in calm, clear, confident manner in verbal, non-verbal, and written communication.
Demonstrates awareness of own views/values/beliefs and works to minimize any limiting/negative impact on patient care and professional relationships.
Required qualifications for this position include:
Experience working in a receptionist capacity answering a multi-line phone and greeting customers.
2 years Experience as a general office assistant, or equivalent training/education, preferably in a health care setting.
Ability to operate various office equipment including fax machine, multi-line phone/paging system, and photocopiers.
Knowledge of Microsoft office products: Word, Excel, and Outlook.
Preferred qualification for this position include:
- Clinical and office supply ordering/inventory systems experience.
