Providence Health & Services Receptionist in Seattle, Washington
Providence is calling a Receptionist ( Pace West Seattle, Day Shift, 1.0 FTE) to Providence ElderPlace in West Seattle, Washington. We are a community of caregivers delivering every day on our Mission to provide compassionate care that is accessible for all – especially those who are poor and vulnerable.
Position: Monday - Friday no weekends.
This position provides prompt and courteous coverage of telephones during normal business hours. Provides a pleasant and warm atmosphere for reception of personnel and visitors. In addition, will perform a variety of office, clerical and support tasks. The function of the position actively incorporates the Mission and Vision of Providence Health Systems. KEY WORKING RELATIONSHIPS:
Successful accomplishments and primary accountabilities of this position will depend upon establishing and maintaining effective working relationships with a variety of people. Such people may include but are not limited to: All facility/agency staff, physicians, participants and their family members, visitors and Providence Health System Staff. May also interact with outside vendors, or contracted staff.
ESSENTIAL FUNCTIONS AND KEY POSITION ACCOUNTABILITIES:
Greets incoming staff, clients and visitors. Provides direction appropriately and confidentially, and responds courteously to all inquiries. Ensures that all visitors sign in on the visitor log and receive a visitor name badge.
Answers multi-line phone system, routing calls according to the triage instructions and alerting staff as necessary.
Provides timely voice mail retrieval of information and transcribes the information into email for distribution.
Reports requests for building maintenance into XM-Web.
Opens and date stamps all incoming mail and sends to the Admin Department for distribution, except for Human Resources and Executive Director.
Coordinates the ordering of office supplies and submits order to Manager for approval.
Sends outgoing faxes as requested and sorts incoming faxes.
Prepares SNF and ED visit packets.
Alerts dispatch when participants are ready to be picked up from Center appointments.
Receives payments from participants, writes a receipt for them and distributes the payments to the Admin Department for deposit. Receives payments for non-PACE day program, writes a receipt and delivers to PMSV financial office for processing.
Maintains an accurate attendance listing of all participants as they arrive and is responsible for taking the listing if evacuation is necessary and checks participants attending ADH into Epic...
Creates, maintains and distributes the weekly census to appropriate staff.
Watches the exits to be sure that no participants leave unless they are authorized to do so.
Prepare and mail welcome letter and team information to new enrollees and participants who transfer from other teams.
Maintain PEPS distribution lists and Staff phone list.
Prepare the Federal Express packages.
All employees of PEPS are required to deliver services and perform activities in compliance with PACE regulatory responsibilities, and comply with all applicable Federal, State, and local laws, regulations, and requirements as well as facility specific policies and procedures. In addition, all employees who have contact with participants are expected to promote the Participant Bill of Rights and Responsibilities and understand the basic procedures for receiving and documenting grievances in order to initiate the appropriate process for participant concerns. Each employee is responsible for understanding their role in the emergency preparedness, infection control and quality improvement plans.
Maintains confidentiality of all patient demographics, medical and financial information at all times. Maintain confidentiality of all company and client information. Ensure proper handling and disposal of confidential documents and adheres to all HIPAA rules and regulations.

Required qualifications for this position include:
High School diploma or equivalent
Ability to read, write and verbally communicate in English
Preferred qualifications for this position include:
Two (2) years administrative support experience including answering multi-line phone systems
One (1) Customer service and bookkeeping experience
