Providence Surgery Scheduling Specialist in Portland, Oregon

Providence is calling Surgery Scheduling Specialist - Surgical Services (1.0 FTE, Days) to Providence Saint Vincent Medical Center in Portland ,OR.

We are seeking a Surgery Scheduling Specialist - Surgical Services that will be accountable for scheduling various complex Surgical and Medical procedures by obtaining appropriate surgical procedure, specialized equipment, and other specialized resources, implants and current/historical medical information (i.e., ICD10 Coding, Medical History, including allergies and Patient Demographic Profile). Complexity of this position is evidenced by the use of simple and complex medical terminology and enterprise scheduling protocols. Surgical Scheduling Specialist must also think independently and make relatively complex decisions in a fast-paced environment. Provides superior customer service and service recovery, utilizing good judgment that meets or exceeds the expectations of patients, visitors, physicians and Providence Health System staff. Surgical Services Scheduling Specialist is accountable for the efficient coordination of the operating schedule(s) including: preoperative scheduling of surgical and medical procedures and assisting the OR manager, Associate Nurse Managers, Charge nurses, and Anesthesia Coordinator with daily facilitation of the schedule. The Surgical Services Scheduling Specialist serves as the liaison and first contact of communication for the operating room; displays professional interpersonal skills and presence when communicating with physicians, staff and the public; as the front-line customer service representative, upholds and exhibits the core values in all communication.

In this position you will have the following responsibilities:

  • Schedule surgeries and other medical procedures according to approved guidelines including specialized blocks and group or individual physician blocked schedules. Must obtain necessary info and advise appropriate departments for emergent add on cases as well as print off necessary paperwork. Verify credentialing status of physicians requesting reservations for their patients and appropriate identification of procedure for accurate preference cards for proper utilization of resources.

  • Coordinate all Anesthesia requests outside of Surgical Services including DI, CT, CVL and Radiation Oncology.

  • Specialized scheduling for complicated Endovascular, Bariatric and Endo GI procedures.

  • Understand and utilize all aspects of EPIC. Verify patients full legal name, spelling and date of birth and accurately inputs all required information into Epic. Obtain needed information from numerous sources including all medical floors and referring physician offices.

  • Courteously and professionally responding to multiple phone calls and requests that often occur simultaneously. Collecting and scheduling accurate information regarding surgical procedure scheduled, physician or patient special requirements, patient demographics to avoid duplicate errors, and/or refers call to appropriate person/department.

  • Collaborate with surgical services OR manager, front desk supervisors, service line supervisors, and other supervisory personnel regarding scheduling, resource or staffing conflicts.

  • Communicate changes in surgery schedule to appropriate departments such as SPD, Surgery Supply, Control Desk, ANMs, MPU, Anesthesia and CVL

Qualifications:

Required qualifications for this position includes:

  • High School Diploma -OR- GED

  • Intermediate Medical Terminology and Physical Anatomy coursework -OR- equivalent education/experience

  • Three (3) years Medical office or hospital experience in surgery field

  • Demonstrated outstanding customer service experience

  • Proficiency in the use of personal windows based computers, Microsoft office applications, such as Word and Outlook

  • Ability to learn quickly, as technology requirements change

  • Ability to work in a fast-paced environment with frequent interruptions

  • Ability to be an effective team member

  • Excellent interpersonal communication, problem solving, decision-making and organizational skills

  • Ability to handle multiple tasks under pressure

  • Ability to process and relate information appropriately

  • Demonstrate a customer service focus

  • Proficiency with use of computers and multiple business software applications

  • Legible handwriting

  • Strong knowledge of surgical procedures and equipment

  • Knowledge of requirements for insurance companies, including Medicare

  • Ability to follow directions accurately and completely

  • Maintain confidentiality of patient records

Preferred qualification for this position include:

  • Business or college courses.

  • Epic Scheduling Experience
