We are seeking a Diagnostic Imaging Scheduler who will be accountable for scheduling various complex Imaging and Medical procedures (i.e. Interventional, Nuclear Medicine, Anesthesia, Short Stay and Admitting) by obtaining appropriate exam information, specialized equipment / resources and implant and current/historical medical information (ICD Coding, medical history, including allergies and patient demographic profile). Complexity of this position is evidenced by the use of intermediate and complex medical terminology and precise scheduling protocols to ensure compliance. The Diagnostic Imaging Schedule must obtain all critical information needed to correctly and efficiently schedule and process imaging exams and must be able to work in a fast- paced, close-quarters, high-call volume environment. Must have the ability to utilize multiple computer applications (HIS/RIS, scheduling software, network drives, reporting systems and/or PACS) to schedule multiple exams within multiple departments and entities (Short Stay Unit, joint ventures, etc.). Must obtain and manage all physician orders in a timely and efficient manner.
The Diagnostic Imaging Schedule must effectively communicate with patients, Imaging Department Coordinators & staff, radiologists, medical offices and physicians. The Imaging Scheduler must provide superior customer service and service recovery, utilizing good judgment that meets and/or exceeds the expectations of patients, visitors, physicians and Providence Health & Services staff
In this position you will have the following responsibilities:
Schedule imaging exams and other invasive procedures according to approved guidelines including specialized blocks and group or individual physician blocked schedules
Obtain necessary information and advise appropriate departments for emergent add on cases, as well as print off necessary paperwork
Verify ordering status of physicians requesting examinations for their patients and appropriate identification of procedure for accurate resource map for proper utilization of resources
Understand and utilize all aspects of HIS/RIS, DI Tracker and the scheduling system
Verify patients full legal name, spelling and date of birth and accurately inputs all required information into the scheduling system
Obtain needed information from numerous sources including all medical floors, all referring physician offices, HIS, scheduling system and PACS
Courteously and professionally respond to multiple phone calls and requests that often occur simultaneously.
Take scheduling requests from physician offices. Collecting and scheduling accurate information regarding imaging procedure scheduled, physician or patient special requirements and patient demographics to avoid duplicate errors and/or refers call to appropriate person/department
Collaborate with Diagnostic Imaging manager, coordinators, service line supervisors and other supervisory personnel regarding scheduling, resource or staffing conflicts
Communicate changes in imaging schedule to appropriate departments i.e. SSU or other enterprise scheduling departments, i.e. CVL, Surgery, Lab, Pathology
Facilitate patient questions for pre-imaging screening information and comments
Able to work through problematic situations and personal conflicts that may arise during the workday in a positive and productive manner
Provide diagnostic imaging support services as required to meet daily ministry needs
Required qualifications for this position includes:
High School Diploma -OR- GED
Two (2) years of Medical and/or clerical experience
Demonstrated outstanding customer service experience
Proficiency in use of personal windows based computer
Basic medical terminology level
Preferred qualifications for this position includes:
Business -OR- college courses
Diagnostic Imaging experience
Intermediate level of medical terminology
