We are seeking a Administrative Assistant 3 - Cancer Program - Medical Research that will serve as the primary day-to-day liaison for their assigned physician researchers, scientists and lab staff. This position is responsible for organizing daily/weekly/monthly work, project deadlines and deliverables to facilitate the goals of the research institute. Provides efficient calendar management and administrative functions to support their assigned areas. Works as an integral part of the research administrative team.

Work independently under general instructions on a wide variety of projects. Readily adapts to the environment and the organizational culture. Positively supports the organization and the research team, and fosters harmonious external and internal working relationships. Completes assignments within strict deadlines with a high degree of accuracy. Effectively utilizes organizational and project management tools to achieve team objectives.

In this position you will have the following responsibilities:

  • Partner closely with assigned physician researchers, scientists and lab staff to ensure effective time management and calendar management, including coordinating all travel arrangements

  • Coordinate meetings with staff, management, committees and vendors including scheduling, preparing meeting notices, developing meeting materials, and managing IT needs

  • Plan, coordinate and host virtual meetings and seminars, acts as technical expert in virtual meeting set-up, technical troubleshooting and coordination

  • Create and maintain MS Teams sites as needed to manage projects

  • Manage purchasing for assigned labs and acts as backup for other Administrative Assistants.

  • Work collaboratively with Vendors, Purchasing, Finance and Facilities to ensure prompt ordering and receipt

  • Proactively prepare assigned physician researchers and scientists for meetings and assists with their deliverables and deadlines including grants; coordinates with others as needed to accomplish goals

  • Prepare correspondence, presentations and documents with minimal guidance using MS Power Point, Word, EndNote, Excel, Adobe, and other office software as needed

  • Process and monitor all invoices, purchase orders and reimbursement requests

  • Coordinate the on-boarding of new lab staff including space and equipment needs

  • Provide relief back-up for other administrative staff with periodic fluctuations in workload and for scheduled and unexpected absences

  • Create and maintain monthly EndNote scientific publications reports for physician researchers and scientists

Qualifications:

Required qualifications for this position include:

  • Four (4) years of experience working within a team and with a diverse populations

Preferred qualifications for this position includes:

  • Two (2) years of Customer Service experience

  • One (1) year of experience in a healthcare or research setting
