We are looking for a Foundation Assistant for the Foundation at Mission Hospital Regional Medical Center.

Location: Mission Viejo, CA

Work Schedule: Full time - 80 Biweekly Hours

Shift: 8-hour, Days

Job Summary:

The Foundation Assistant will provide a full range of administrative support to the Major Gift and Events team. In addition, leading foundation donor relations through cultivation and stewardship. This is a full-time position and reports to the Director, Special Gifts and Support Groups.

Essential Functions:

  • Reception-provide overall reception of the foundation office, including but not limited to greeting visitors, phone coverage, management of Foundation general email address, ownership of foundation conference room calendar, respond to routine inquiries for information and receive, review and distribute mail.

  • Gift Administration-scan donor gifts and coordinate gift in-kind entries and matching gifts. Process credit card payments, check deposits, fill out daily cash receipt (DCR), cash Deposit (Courier Pick-Up) and collaborate changes/updates in the DREAM system with the Regional data team.

  • Local Donor Relations-modify, print, and mail gift acknowledgment letters, modify, print and mail pledge reminders. Prepare recognition of donor birthday, anniversaries, celebratory events as well as expressions of thank you gifts for major donors. Collaborate and support the efforts of others on the Foundation team related to donor stewardship, cultivation and database entry. Provide support to the Sister Martha Ann Fitzpatrick Vision Award committee and award presentation.

  • Donor Walls: obtain updates for all donor walls from shared services and work with vendors to update donor walls throughout both campuses.

  • Plaques and Signage: maintain list of named recognition and opportunities. Work with Major Gift Officer and vendor to create donor recognition mock up and complete installations.

  • Coordinate Annual Thanksgiving Gifts: obtain mailing list, select gift and coordinate patient story insert. Package and coordinate deliveries.

  • Coordinate Philanthropist Circle Program: collaborate with Major Gift Officers to manage the PC program. Assemble welcome packets, enter member data into DREAM and EPIC systems. Maintain hospitality program supplies and manage the badging process. Schedule the hospitality phone and maintain the Quiet Room schedule and supplies.

  • Events Team support-collaborate with events team to prepare for Foundation events; name tags, event setup, tear down and volunteering during event.

Minimum Position Requirements:

Experience: 2 years Office or administrative experience.

Preferred Position Qualifications:

Education: Associate's Degree, or Bachelor's Degree.


  • 2 years Special event and/or project support experience.

  • Experience in fund-raising, particularly annual giving.
