Providence is calling a Pharmacy Coordinator PYXIS - Pharmacy (1.0 FTE, Days) to Providence Medford Medical Center in Medford , OR. This position's shift will be M-F 5 8-hour shifts (days).

We are seeking a Pharmacy Coordinator PYXIS - Pharmacy that will perform duties to facilitate the filling and dispensing of unit dose, IV and stock medications as it relates to the Pyxis dispensing machines and CII Safe. Ensures proper maintenance, filling and dispensing duties are performed for CII Safe and the Pyxis machines on the nursing units and other ancillary departments in a prompt and accurate manner. This position is responsible for working with the Pharmacy management team to maintain proper staffing levels, planning and decision making process for the entire Pyxis system to maintain overall department productivity and quality standards.

The Pharmacy Pyxis and Automation Specialist is responsible for database maintenance, implementation of report creation and evaluation, and basic maintenance of pharmacy automated dispensing machines. In addition, this position is responsible for assessing Pyxis needs for patient care areas including number and type of machines and inventory needs. This position also helps with process improvements related to pharmacy automation and has administrator access to all pharmacy automation including Pyxis, Pyxis C2 safe, mediation carousel, and PacMed systems. In depth knowledge of all these systems as well as the ability to independently troubleshoot problems and resolve issues are requirements of this position.

In this position you will have the following responsibilities:

  • Understand and is able to work all duties and functions of the Pharmacy Technician II job description

  • Coordinate the daily functions of the Pyxis Pharmacy Technician staff, to meet the requirements of the job as set forth by the Pharmacy Technician Supervisor and Inpatient Coordinator

  • Work with the Pharmacy Technician Supervisor for all staffing issues

  • Defer all clinical medication decisions to Inpatient Coordinator Pharmacist

  • Keep track of items to be added or deleted from the CII Safe, Pyxis machines and/or Pyxis Formulary

  • Maintain inventory as it applies to Pyxis systems. This involves inventory control measures to reduce the overall drug budget setting minimums / maximums and standard designations

  • Initializing and arranging the physical layout of the pockets in each Pyxis machine and CII Safe. Determining best location assignment for each drug type with space issues, security, safety and efficiency in mind

  • Ensure accuracy of medications loaded into the Pyxis machines and CII Safe, both with formulary maintenance and the actual physical inventory

  • Ensure bar-coding on products within the Pyxis system are correct and that only the proper unit dose package is dispensed

  • Troubleshoot Pyxis system (Pyxis dispensing machines and CII Safe) issues for Nursing Service

  • Supervise staff throughout the shift to ensure that all appropriate assigned duties are finished

  • Act as a liaison between Pyxis Technician staff and Pharmacy Technician Supervisor

  • Provide input to Pharmacy Technician Supervisor for Pyxis support staff evaluations

  • Work with Pharmacy Technician Supervisor and recommends disciplinary action when appropriate

  • Must be organized and able to change roles throughout the shift as dictated by staffing issues and Pyxis machine/CII Safe reporting and/or malfunction

  • Work with Pharmacy Technician Supervisor as Technician advocate and problem solver regarding problems or disputes

  • Report weekly or more often with the Pharmacy Technician Supervisor and or Inpatient Coordinator to discuss issues of importance or concerns

  • Help plans agenda and conducts the monthly Pharmacy Technician Pyxis meetings. Sends agenda to Pharmacy Technician Supervisor at least a week ahead of time and discusses issues with the Supervisor/ Inpatient Coordinator before meeting

  • Attend all Pharmacy meetings to stay informed of any issues concerning Pharmacy Technicians

  • Perform any tasks that the Pharmacy Technician Supervisor/ Inpatient Coordinator assigns

  • Assist Pharmacy Technician Supervisor in the interviewing and hiring process

  • Assist Pharmacy Technician Supervisor with orientation, training and mentoring for all new employees

  • Assist Nursing Education with training for Nursing, as it relates to Pyxis

  • Attend Nursing training days

  • Maintain all Pyxis 'Users'. Gets new employee information from Nursing/ IS

  • Follow procedure for new user entry. Also, takes care of employee termination

  • Oversee/maintain all discrepancies on Pyxis machines and CII Safe. Follows up with Nursing units, documents any changes, files Unusual Occurrence reports as needed

  • Coordinate staff and oversees all unit inspections. Follows up and files appropriate documentation

  • Provide for professional proficiency by attending manager training workshops, seminars and classes to remain current and up to date with the latest people managing skills.

  • Work with reports and communicates with Nursing to find and prevent diversion of drugs

  • Conduct inventory counts on all Pyxis machines and CII Safe. Files appropriate reports

  • Work with the packaging support staff/Pharmacy Buyer to ensure Pyxis machines and CII Safe has enough unit dose inventory available

  • Assess and configure equipment needs and arranges the physical layout of the pockets in each Pyxis machine and CII Safe, determining the optimal layout for utilization of space, security, safety (with ISMP guidelines) and efficiency

  • Coordinate all equipment upgrades, software upgrades, and major repairs involving Pyxis system

  • Maintain all Pyxis Users. Obtains new employee information from nursing/IS. Follows procedure for new user entry

  • Ensure caregiver terminations are processed in a timely manner.

  • Ensure accuracy of medications loaded into the Pyxis machines and CII Safe, both with formulary maintenance and the actual physical inventory

  • Under the supervision of a pharmacist, ensures bar-coding on products within the Pyxis system are correct and that only the proper unit dose package is dispensed

  • Troubleshoot Pyxis system (Pyxis dispensing machines and CII Safe) issues for nursing, and repairs and maintains Pyxis automation equipment or initiates repairs through vendor support as needed

  • Act as the interface between BD Carefusion and the pharmacy department and coordinates repairs and maintenance to equipment

  • Train new users for CII safe and higher level Pyxis responsibilities such as entering new users, resolving discrepancies, and recovering failed drawers and cubies

  • Assist nursing education for training as it relates to Pyxis

  • Create and maintains Pyxis training plans for staff, including training and mentoring for new employees

  • Coach and mentor caregivers on the appropriate use of Pyxis workstations

  • Notify Pharmacy Operations Supervisor and Technician Supervisor regarding opportunities for improvement

  • Monitor all discrepancies on Pyxis machines and CII safe

  • Follow up with unit nurse managers, documents any changes, and files Datix reports as needed to ensure timely and appropriate resolution of discrepancies

  • Expert in tracking of controlled substances and discrepancy resolution. Works directly with anesthesiologists, pharmacy and nurse management for audits

  • Review narcotic auditing tools, communicates with unit nurse managers, and assists pharmacy manager with identifying and/or preventing potential diversion activities

  • Perform controlled substance audits and provides data for narcotic diversion investigations

  • Understand and is able to work all duties and functions of the Pharmacy Technician 3 job description

  • Oversee all unit inspections as they pertain to Pyxis. Follows up and files appropriate documentation

  • Attend and participates in all pharmacy meetings to stay informed of any issues concerning pharmacy technicians

  • Raise concerns and clarifies processes related to the use of Pyxis

  • Meet weekly with the Pharmacy Operations Manager to discuss issues of importance or concern as it relates to use of the Pyxis machines or its related workflow

  • Serve as a liaison between Pyxis technician staff and Pharmacy Technician Supervisor for Pyxis related issues

  • Assist the Pharmacy Technician Supervisor with solving technician related problems or resolving disputes

  • Work with Pharmacy Technician Supervisor to ensure appropriate use of Pyxis by the pharmacy technicians and to identify opportunities for technicians to enhance their workflow through better use of the technology

  • Must be organized and flexible. Must be able to change roles throughout the shift as dictated by staffing issues and Pyxis machine/CII Safe reporting and/or malfunction

  • Work closely with regional clinical informatics specialist to ensure Epic medication lists are in sync with Pyxis formulary and correct ADS IDs are used for new and existing products

  • Maintain CII Safe database and local Pyxis formulary database

  • Add, configures and removes medication records in the database as needed

  • Be responsible for proper configuration so that EMR, Pyxis and CII Safe accurately communicate

  • Local system administrator for Bluesight Controlled Substance Narcotic Surveillance software

  • Ensure accurate database mapping between EMR and Bluesight, maintains users, and handles data reporting needs from the system

  • Resolve unreconciled actions

  • Work with nurse managers to train and support use of Bluesight

  • Maintain and optimizes inventories within all Pyxis devices. This involves inventory control measures to reduce the overall drug budget setting minimums / maximums and standard designations

  • Assist with drug shortage mitigation as it relates to inventory in Pyxis

  • Assist with drug recall management as requested by Technician Supervisor and/or Operations Manager

  • In collaboration with the pharmacy buyers and department management, reviews usage reports at least annually and adjust inventory accordingly

  • Ensure adequate inventory levels are maintained in Pyxis machines and CII Safe

  • Conduct inventory counts on all Pyxis machines and CII Safe per regulation

  • File appropriate reports

  • Proficient in the use of Knowledge Portal, Bluesight, Pyxis, RxAuditor, and Epic for running reports for the purpose of inventory optimization, narcotic audits, and other reporting needs

  • Serve as regional Pyxis subject matter expert and local Pyxis system administrator for multiple practice sites

  • Administer Pyxis systems for multiple sites, including PPMC, and Eastside/Westside Oncology clinics

  • Consult for other Oregon ministries

  • Coordinate the daily functions of the Pyxis Pharmacy Technician staff, to meet the requirements of the job as set forth by the Pharmacy Operations Supervisor and Manager

  • Work with Pharmacy Operations Manager and Technician Supervisor for all staffing issues

  • Help plan agendas and participates in meetings as needed with pharmacy technician staff

  • Maintain professional proficiency by attending leadership training workshops, seminars and classes to remain current and up to date with the latest people managing skills

  • Assist Pharmacy Technician Supervisor in the interviewing and hiring process

Qualifications:

Required qualifications for this position includes:

  • Coursework/Training: IV/Admixture training. -OR- equivalent education/experience

  • National Pharmacy Technician Certification required (CPhT)

  • Current license with the Oregon State Board of Pharmacy

  • Minimum of three (3) years hospital inpatient experience as a Technician

  • Must have experience dealing with people in difficult situations
