Providence is calling for a CDC Office Assistant III (0.5 FTE, 20 hours per week Variable Shift) to work at Providence St Peter Chemical Dependency Center in Lacey, WA.

This position at our front desk performs a variety of duties in support of patient care and department operations. Duties focus on customer service, including greeting patients when they arrive, scheduling and check in, coordinating internal and external phone communications, and other clerical functions.
In this position you will:
Utilize basic knowledge of the organizational structure, hospital departments and department operations with ability to perform a variety of duties in support of patient care and department operations: • Demonstrate knowledge of the department's policies and procedures. • Ability to assist patients with inquiries and concerns. • Understand State and Federal patient confidentiality laws and regulations and maintain confidentiality of records and patients' information at all times. • Ensure the patient waiting area is clean and well maintained. • Alert management to potential patient dissatisfaction or safety and liability issues.
Demonstrates ability to work with patients, family members and staff of various age groups: • Greet, check-in, verify patient’s information in a friendly and courteous manner in person and on the phone; direct flow of patients and calls. • Handle patient payments according to policy. • Schedule and coordinate appointments; call to remind patients of their appointments and reschedule if needed. • Ensure that patient needs are met while in the clinic, help coordinate appointment times, transportation and interpreters as needed or requested.
Maintains knowledge of the department’s computer systems, electronic medical record, and others as necessary to the position: • Effectively utilizes basic computer skills to operate PC and use common office software and office equipment. • Performs word processing, preparing and writing correspondence, reports, forms, and other documents. • Collect and verify accurate and complete demographic information from patient or family member. Accurately enter all data into the information system and update established patient files as necessary.
Assists with projects as needed by compiling information, preparing information packets, performing word processing, researching, filing, etc.: • Uses personal computer, copiers, fax, and other office equipment. • Open mail and distribute to appropriate staff. • Order general office supplies and forms directly, or by reporting inventory need to appropriate source. • Demonstrates initiative to participate in project and team functions and expand knowledge of the patient population served. • Participate in all department staff meetings. Participate in performance improvement activities that support quality patient care.
Required qualifications for this position include:
- 2 years Clerical experience preferably in a healthcare setting.
