Providence Health & Services Timekeeper - Nursing Management in Everett, Washington

Providence is calling a Timekeeper (0.8 FTE, Variable shift) to work in Nursing Management at Providence Regional Medical Center Everett in Everett, WA.

We are seeking a Timekeeper who will provide for centralized timekeeping for nursing units approving time cards at the close of each pay period. will Perform tasks related to the accurate recording, editing and maintenance of timekeeping/payroll records for caregivers at PRMCE. Create and maintain nursing unit monthly staff schedules approving PTO, staff shift trades and assignment of extra shifts in accordance with labor laws, contracts and Providence policies. Provide support to nursing units and Staffing Specialists by updating and monitoring daily schedules, assuring appropriate distribution of staff by producing a balanced monthly unit staffing schedule and arranging for supplemental staffing for nursing units. Act as Kronos support for PRMCE producing reports for nursing leadership as requested.

In this position you will:

  • Audit automated time cards in accordance with Providence Health & Services policies, State and Federal wage and hour guidelines and labor contracts. Maintain a thorough knowledge of employee benefits related to vacations, illness and mandatory leave benefits, payroll policies, and union contracts:

  • Ensure that employees are receiving appropriate pay as outlined in Providence Health & Services policies, labor laws and union contracts. Enter PTO, EIB, Bereavement, jury duty and all other mandatory leave pay on employee timecards

  • Reviews payroll computerized edit reports and makes adjustments to ensure the accuracy of each employee's timecard:

  • Correct timecard errors as directed by Payroll and staff initiated Time Correction pay period formsProvides support for Payroll and Staff including distributing staff patterns and all other staffing functions

  • Interact with Payroll and Human Resources to resolve and answer questions

  • Process timekeeping corrections:

  • Enter timekeeping corrections and sends Time Correction pay period forms to HR

  • Process daily worksheets:

  • Ensure all codes and comments are accurate. Enter low census, standby, RBS and call back pay correctly. Ensure that employee hours are charged to the correct cost center

  • Approve timecards:

  • Approve timecards at the end of every pay period

  • Create monthly staff schedules for Nursing units:

  • Update staff schedules, write staff schedules, maintain unit traveler schedules, make staff assignments, track staff assignments, determine staffing needs of the nursing units, and maintain regular contact with the unit managers/supervisors in order to respond to changing staffing needs

  • Arrange for per diem staffing through agencies or by calling off duty staff

  • Review staff schedules for upcoming staffing needs and develops a proactive plan for covering vacancies with the unit manager/supervisor

  • Respond to employee leaves/absences:

  • Log absence, communicates with unit manager/supervisor and arranges for replacement

  • Maintain automated Kronos scheduling system:

  • Update employee information, schedule changes, review daily and weekly schedules, reports concerns to managers and directors. Address staff concerns with Schedule

  • Provide printed reports and schedules to managers:

  • Prepare and prints daily and periodic staffing reports for the staffing office, nursing units and nursing leadership

  • Report on and updates sick/absent occurrences

  • Provide individual history reports upon request

  • Maintain information flow to nursing leadership:

  • Communicate regularly with unit manager/supervisor about staffing issues or concerns

Qualifications:

Required qualifications:

  • Associate's Degree in business, finance, informatics, HR or other related degree or Minimum one - two years related experience and/or training; or equivalent combination of education and experience

  • 1 year experience using a complex automated time and attendance system, or equivalent combination of education and timekeeping experience

  • 1 year experience in a related field

  • General office skills including typing, business machines, ten-key by touch, and familiarity with computer systems including the use of a personal computer

  • Proficient with Excel and Word

  • Excellent interpersonal skills and demonstrate the ability to work with a diverse population

  • Strong verbal and written business communication skills

  • Communicate effectively with staff, agency reps, contract employees, management

  • Able to multitask, handle multiple demands on time

  • Function under pressure with specific timelines

  • Work independently of direct supervision

  • Perform basic math calculations

  • Write clearly and succinctly

  • Ability to operate a fax, copy, and scanner machine

Preferred qualifications:

  • Bachelor's Degree in business, finance, informatics, HR or other related degree

  • 1 year experience as a Timekeeper or Nursing Staff Scheduler
