Providence Health & Services Executive Assistant - Foundation in Everett, Washington
The Providence Foundation is calling an Executive Assistant (1.0 FTE, Days) to Providence Regional Medical Center in Everett, WA.
The Executive Assistant provides executive support
to the Chief Development Officer of the Foundation. This position plays a
critical role in functioning of the Foundation Office. The EA is responsible for many of the
business functions of the office including accounts payable,
banking/reconciliation, audit preparation, grant notifications, tracking and
distributions, coordination with System accounting and the Foundation’s
investment manager and filing annual legal documents and licensing. In
addition, the EA provides support for the Board of Directors including
scheduling meetings, taking minutes, and sending notifications through
Director’s Desk. The position provides office support for the Foundation team
and staffs the front desk.
In this position you will:
Have responsibility for all Foundation accounts payable, annual audit preparation and internal fundtransfers between Foundation and System Finance
Coordinate monthly statement reconciliation with the bank, Foundation investment advisors,operations and Foundation accountant
Have proficiencyin Raiser’s Edge database system including entering data and answeringinquiries
Provide support as the assistant to the Foundation Board of Directors.
Perform administrativeaccountabilities and support
Maintain confidentiality of records donor records or medical center information
Required qualifications for this position include:
High School Diploma, GED or equivalent
Minimum of fiveyears’ experience as an administrative professional demonstrating initiative,analytical ability, excellent written and verbal skills and the ability to workin fast-paced environment.
Minimumof five years’ experience working in a front-facing customer service role.
Expertknowledge of office practices, procedures and protocols
Administrative support functions
Banking - checking account reconciliation
